Collections Supervisor

Position Summary

Salary:$58,500 - $71,500 annually depending on experience.  MSU Benefits - Free comprehensive health care for you and your family as well as a 10% contribution toward your retirement; Generous sick, vacation, personal and holiday time; This position is not eligible to work a remote schedule. Regular attendance is required to meet business and customer needs. 

This position is responsible for overseeing the collection of surplus, recycling, organic, and waste materials from both campus and off-campus locations. It involves scheduling and prioritizing work to ensure service standards are consistently met. The role includes developing and maintaining strong customer relationships through exceptional customer service.  Promoting two-way communication with staff is essential, facilitated through daily, weekly, and monthly meetings. The role also involves developing and maintaining comprehensive training programs and participating in meetings with peers to discuss relevant operational topics, fostering communication and continuous improvement. When necessary, the individual will perform the duties of direct reports.

Job responsibilities are as follows: 

30%: Collections Management - 
• Organize and assign work, provide oversight, develop standards, and measure key performance indicators. 
• Assign work and provide oversight to student, on-call, temporary and full-time staff engaged in collecting, hauling, receiving, sorting, staging, data management and shipment of recycling and surplus items. 
• Develop comprehensive knowledge of tools, equipment, and vehicles, including compactors, front and rear load packer trucks, roll-off trucks, and box trucks.
• Scheduling daily collection routes. 
• Communicate daily work schedule to Collections staff. 
• Load routes into the department’s CRO dispatching and logistics software. 
• Conduct weekly review of route data to assess opportunities to reduce operational costs and increase collection efficiencies. 
• Conduct daily review of collection routes to determine route efficiency and opportunities to redeploy assets to accomplish supplemental work. 
• Assist with the identification and collection of key performance indicators for the collections team. 
• Ensure staff complete duties in a safe and efficient manner. 
• Ensuring routes are completed within the standards established by the department. 

30%: Supervision - 
• Conduct daily meetings with staff to coordinate and assign work activities. 
• Lead the collections team by reviewing current and updated operations, policies, procedures, and events at the university. 
• Meet with all direct reports a minimum of 30 minutes once per month to review performance, expectations, goals, and departmental updates. 
• Review expectation outlines with staff on a quarterly basis. 
• Complete annual review and expectations outlines for all direct reports prior to the annual review date. 
• Be an active participant in the Supervisor team. 
• Coordinate time-off schedules to ensure customer service standards are maintained. 
• Council and discipline staff when necessary. 
• Provide verbal and written reports as needed to supervisor and SSRC manager. 
• participate in IPF and University committees as needed.
• Promote and improve a culture of safety. 
• Research best practices; develop and maintain policies and procedures.

30%: Customer Service - 
• Provide outstanding customer service to the campus community by conducting site visits for major projects and work orders to determine the most efficient method to meet customer needs.
• Act as a liaison between the department and campus customers. 
• Meet with campus customers as necessary to assess opportunities to divert materials through surplus and recycling collections. 
• Educate campus customers on the services and abilities of the SSRC as well as the materials accepted for diversion and recycling 
• Attend meetings and represent the SSRC to build relationships with customers which improve our ability to work collaboratively to divert materials and increase revenue for the customer and department. 
• Provide outstanding customer service to the MSU community and the public.  
• Respond to, or inform supervisory staff of complaints, comments and/or unmet service needs. 
• Monitor environmental hazards and occupational safety for the collections team and act as a liaison between SSRC, campus customers, and EHS.

10%: Training and Staff Development - 
• Ensure collections team members are prepared to safely operate equipment, utilize technology to gather data and efficiently collect waste materials Develop and maintain training modules for fleet and equipment usage. 
• Develop standards, activities, or certifications to measure staff readiness to operate vehicles and equipment safely and efficiently. 
• Conduct department training programs for collections and processing staff. 
• Conduct in-the field training for new collections staff to ensure safe operation of equipment, proper data management and efficient collection of materials. 
• Conduct regular refresher training for existing staff. 
• Ensure a safe working environment for collections team by conducting a walk-through of the SSRC yard at least weekly to assess working conditions 
• Provide forklift, stacker, skid-steer, backhoe, mini-pack, box truck, roll-off, and front load, operation training to employees. 
• Keep up to date on best practices for the collection of waste materials. 
• Develop a refresher training programs to ensure staff stay actively engaged in completing work tasks in a safe and efficient manner.

Minimum Requirements

Knowledge equivalent to that which would be acquired in the first two or three years in college, technical, vocational or business school with coursework in a field related to reuse, recycling, sustainability, or waste management; one to three years of related and progressively more responsible or expansive work experience in performing tasks related to the area of collections, reuse, recycling, sustainability, or waste management, and requires one to three years supervisory experience; or an equivalent combination of education and experience.

Possession of a CDL Class B to assist in and/or perform the full range of duties of the employees supervised is required.

Work Hours

Summary of Physical Demands

Lifting material from floor and placing in carts.  Lifting and dumping recycling containers; up to 75 lbs for up to 3 hours per day.

Carrying surplus items and recyclables from rooms or outside to carts. Up to 50 lbs for up to 2 hours per day. 

Pushing carts of surplus, recycling, trash, and food waste. Up to 300 lbs for up to 2 hours a day.

Climbing stair to get on and off trucks and up to the sort line.
