LCE Shared Discovery Administrator

Position Summary

This position provides support to the Shared Discovery Curriculum and LCE in the College of Human Medicine; Provides support for all aspects of the external clinical experience. Provides information and assistance to students and faculty fellows and advises them of potential solutions to problems and courses of action; assists faculty and students in understanding timelines and expectations related to curriculum; processing/preparation of curricular materials, uploading materials to the web; creates and maintains computer resources for the curriculum; collects and interprets information in order to produce reports and provide information for administrators, faculty, staff, and others; assists in planning for physical facilities, equipment, courses and other services needed regarding the delivery of the curriculum; submits grades and maintains appropriate paperwork files; proctor's exams; assists other curriculum teams as needed; follows University and department policies and procedures in order to address and resolve questions and problems.

Responsibilities:

30% Administrative Support for Late Clinical Experience (LCE) Communities and Directors of Student Programs

  • Monitor monthly student reports from CAs for any issues or concerns.
  • Track grades at the end of each clerkship iteration, logging into binders and the College of Huma Medicine Information System and manage FCE deadline reviews.
  • Create and publish LCE Master Program schedules and assist with annual updates for orientation week requirements.
  • Coordinate updates for the Medical Student Performance Evaluation template, pulling necessary data from CHM-SIS, and gather information related to LCE policies as needed.
  • Manage D2L communities for BIII & LCE Administration, including uploading content and meeting minutes.
  • Assist in the creation of annual clerkship evaluation report templates and monitor LCE electives lists for updates.

20% Curriculum and Clinical Shift Administration

  • Organize course materials, reserve classrooms, and maintain centralized curriculum information.
  • Serve as the primary contact for clinic administrators regarding student participation in clinical shifts, troubleshooting issues, and managing evaluations of clinical sites.
  • Interface with external clinical partners to negotiate student rotation schedules and ensure necessary training and security access for students.
  • Manage faculty evaluations, coordinate curricular committee meetings, and assist in the administration of workshops and special events.

15% Student and Faculty Support

  • Act as the initial contact for student inquiries, resolve scheduling conflicts, and track attendance.
  • Develop supplementary materials for clinical shifts and maintain accurate student records.
  • Collaborate with faculty to create schedules, log teaching hours, and manage course evaluation feedback for continuous improvement.

10% Support for LCE Curriculum design group (CDG) Committee and Clerkships

  • Schedule and staff meetings for LCE CDG Committee, CA, and CA-DCA, including creating agendas and taking minutes.

10% Monitor Overall Progress of LCE Students

  • Monitor monthly student reports from CAs, track grades, and manage background checks for LCE students needing CBC for away electives.
  • Download clerkship data from the NBME portal and ensure compliance with relevant policies.

5% Maintain and Update Annual LCE Guidebook

  • Coordinate with directors and staff for content review, grammar checks, ordering, and distribution.

10% Other Clinical Experiences Duties

  • Proctor National Board exams, ensure security, and stay updated on technological advances and best practices.
  • Actively participate in goals and initiatives of the overall Clinical Experiences and CHM team.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Education, Health Education, Educational Administration or a related field; six months to one to year of related and progressively more responsible or expansive work experience and knowledge of curriculum in the area of employment; word processing, database, spreadsheet and presentation software; or an equivalent combination of education and experience.

Desired Qualifications

Proficiency with Google Docs, and Microsoft Office 365, software; must be a self-starter with high attention to detail, good decision-making skills and the ability to work independently on multiple projects simultaneously; experience editing and composing documents/correspondence; familiar with office procedures, including management of databases, committees, and written reports, scheduling meetings and conferences, and use of the web; demonstrate strong organizational skills and ability to interpret information and creatively solve problems; ability to establish and maintain effective working relationships with faculty, staff, and students; experience providing excellent customer service; ability and desire to work effectively and collaboratively as part of a team.

Special Instructions

This position is based in East Lansing with occasional travel between campuses. Evening or weekend hours may be required to meet project deadlines, proctor exams, and support college events.
