Position Summary(Basic Job Function)

This is a temporary or an on-call position. Provides professional support. Responsibilities may include general business, science, medical, agricultural or other professional support functions. Term: Temps can work two (2) nine (9) month terms with a week break in service in between and at the end of the second term terminate for three (3) months or switch to an on-call. On-Call allowed to work 1039 hours in any twelve (12) month period.

Unit Position Summary

Join our dynamic team as a Professional Aide at IPF Campus Events! You’ll play a key role in the success of 3,500+ events annually, with a strong focus on supporting Registered Student Organizations (RSOs) activities. This position involves working across multiple software platforms, serving as a critical data organizer (requiring high accuracy and attention to detail), and delivering top-tier customer service. The IPF Campus Events office is responsible for managing University approvals and coordinating required/requested IPF services for campus events. This role supports daily operations, with a particular emphasis on events hosted by RSOs. Key responsibilities include processing data across multiple systems, providing clerical support, gathering information, and triaging inquiries. Success in this role requires precision, strong organizational skills, and the ability to anticipate operational impacts. Excellent written and verbal communication skills are essential. Familiarity with Michigan State University’s campus and operational structure is preferred.

Primary Duties Breakdown:
• 50% – Scheduling IPF Event Work Orders in Planon
• 35% – Manage RSO events in Involve@State and TRELLO
• 15% – Respond to emails, provide clerical support, and handle miscellaneous/special assignments

Contract Duration: 9 months, renewable once (with a mandatory 1-week layoff between terms)

Operators License Required: No

Work Arrangement: In-person, with potential hybrid options available after a minimum of 4 months of successful employment


Minimum Requirements: Knowledge normally acquired from specialized training such as that acquired in two to three years of college, technical, vocational, trade or business school (event coordination, project management, work order creation); one to three years of related and progressively more responsible or expansive work experience in performing tasks related to the area of employment; experience in word processing, database, spreadsheet, presentation software, experience with the use of e-mail and the Internet; or an equivalent combination of education and experience.

Desired Qualifications

Technical & Systems Expertise

  • Proficient with computer software programs
  • Experience with systems such as PLANON (or equivalent work order management software), EBS, Involve@State (or similar event management platforms), and processes involving accurate data entry
  • Understands systems conceptually (not just memorizes steps)
  • Possesses a project manager mindset with the ability to recognize operational ripple effects

Campus & Operational Knowledge

  • Familiarity with Michigan State University’s campus, including logistics, ordinances, and policies
  • Understanding of various IPF operations and procedures


Administrative & Organizational Skills

  • Minimum of two years’ experience in an office setting with customer service and administrative responsibilities
  • Exceptional multitasking skills with a high degree of accuracy and attention to detail
  • Strong ability to follow directions, meet deadlines, and communicate effectively across multiple organizational levels
  • Demonstrated capacity to anticipate departmental needs and support business professionals proactively
