Position Summary

Michigan State University is seeking a detail-oriented HR professional to support the administration of employment eligibility verification requirements associated with federally funded work. This one-year, end-date position serves as a key resource for E-Verify and Form I-9 compliance, ensuring accurate processing, documentation, and adherence to federal regulations while providing consultative support to employees, supervisors, and university units.

The role partners closely with HR colleagues and campus stakeholders to monitor compliance requirements, resolve complex documentation issues, maintain data integrity, and support process improvements that strengthen operational effectiveness and reduce compliance risk across the university.

Salary

The salary range for this position is fixed at $56,446-$61,938. Final compensation will be determined based on relevant experience within this range.

Remote Work Capability

This position is based in East Lansing, Michigan, on the campus of Michigan State University.  Human Resources embraces flexible work options, and this position allows for a hybrid work schedule (if desired), with regular onsite work required generally one day per week. All work schedules are assessed for impact to the work outcomes of the individual, team, and department – and must be pre-approved by the supervisor.

What You’ll Do

  • Monitor and track employees whose pay is charged to federal award accounts to identify individuals subject to E-Verify requirements.
  • Administer the full E-Verify process, including case initiation, follow-up actions, resolution of tentative non-confirmations, and case documentation.
  • Provide consultative guidance to employees, supervisors, and units regarding employment eligibility verification requirements and compliance expectations.
  • Review and process Form I-9 documentation, ensuring accuracy, completeness, and adherence to federal requirements.
  • Coordinate remote verification activities and work with authorized representatives to facilitate compliant onboarding processes.
  • Conduct audits and reviews of employment eligibility records to identify discrepancies, mitigate risk, and improve compliance outcomes.
  • Maintain accurate records and tracking systems that support data integrity, reporting, and regulatory compliance.
  • Develop reports and monitor compliance metrics to support decision-making and ongoing program administration.
  • Partner with HR colleagues and campus stakeholders to resolve complex documentation issues and support consistent application of policies and procedures.
  • Contribute to process improvement initiatives, compliance projects, and evolving employment eligibility requirements across the university.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in human resources, a related social science field, business or a related field; six months to one year of related and progressively more responsible or expansive work experience in human resources; or an equivalent combination of education and experience.

Desired Qualifications

  • 2-3 years of experience with Form I 9 processing, E Verify administration, I-9 Management system and employment eligibility compliance.
  • Strong critical thinking skills with the ability to evaluate complex scenarios and determine compliant solutions.
  • Excellent communication and customer service skills, with the ability to convey policy requirements clearly in writing and in person.
  • Demonstrated ability to maintain accurate records, manage follow-up actions, and ensure data integrity.
  • Knowledge of federal employment law, immigration documentation, and HR compliance standards.
  • Ability to work independently, manage deadlines, and adapt to evolving compliance requirements.
