Education Abroad Coordinator

Position Summary

The online Global Health Studies (GHS) Program, within the Global Health Institute (GHI) in the College of Osteopathic Medicine, seeks a Study Abroad coordinator to support the unit in facilitating the Study Abroad programs with Office for Education Abroad (OEA) and in-country logistics. 

The candidate for this position is responsible for executing administrative tasks that serve student engagement to support both GHS and GHI international programs. Candidates must be able to work on-site at MSU East Lansing Campus, Monday to Friday with occasional evening and weekend support to other GHI team members for visits by domestic and international personnel or students from partner universities. Alongside the director for the Global Health Institute and Global Health Studies and program directors, coordinate program logistics from pre-departure to on-site arrival, the candidate for this position is responsible for:

Core Responsibilities 

    • Oversee recruitment and advising for the Institute’s portfolio of education abroad programs
    • Liaise with OEA to prepare and review program budgets; present budgets to program directors and leadership for review and approval; analyze past budgets to forecast costs for upcoming fiscal year and ensure correct distribution of funds and program profit.
    • Coordinate overseas logistical arrangements for lodging, transportation, and other events for various programs.
    • Responsible for decision-making, follow-through, and communication regarding programs, communicating widely with COM, OEA, and other university stakeholders. 
    • Review and approve student applications based on OEA, college and university criteria.
    • Alongside the Office for Global Health, Safety, and Security, reviews student applications under judicial review, and interviews students to assess eligibility.
    • In collaboration with program directors, prepare health and safety orientations.
    • Assist with coordination of international clerkships / rotations as needed.
    • Liaise with program directors, academic leadership, and OEA to implement new programs.
    • Conduct site visits as required to address concerns, assess program strength, and forge institutional partnerships.

Communication and Collaboration 

  • Utilize Spanish to communicate professionally with vendors abroad; interpret for visiting delegations and academic conferences hosted by the Institute.
  • Plan and lead biweekly workgroup meetings with program directors and leadership to discuss education abroad policy, academic and program-specific standardization, and conflict response.   
  • Work with OEA, program directors, and leadership to standardize Education Abroad application materials, based on OEA, College of Osteopathic Medicine (COM) and University policy.  
  • Serve as a point of contact for vendor conflict, negotiation, and invoice reconciliation.  
  • Assist program directors with collection of syllabi and itineraries for standardization, support director in overall standardization procedures for Education Abroad programming.  
  • Ensure that program directors are aware of university policy regarding health, safety, and security emergencies, and direct them to proper reporting channels.
  • Interprets university policies and procedures regarding education abroad programs, initiating necessary action.

Outreach and Recruitment 

  • Review and approve applications, following OEA, COM, and University procedures.
  • Create and prepare informational materials and presentations for students.
  • Distribute eblasts regarding programs via university communications channels.
  • Represent the Institute and College at interdepartmental fairs and outreach events.
  • Event planning: enlist the support of clerical staff to procure tables, supplies, flyers, etc. for engagement events.

Technical 

  • Utilize Via Global software to track and approve applications, as well as manage student data.
  • Front the ongoing development of a database for student alumni relations and giving, in collaboration with OEA and leadership.  
  • Compile and maintain spreadsheets for program managers with sensitive student data (i.e. roommate preferences, emergency contacts), ensuring accuracy and following confidentiality policy before delivering to program managers.

Program Budgets 

  • Liaise with OEA to prepare and review program budgets; present budgets to program directors and leadership for review and approval
  • Review budget sheets across years to ensure correct distribution of funds
  • Tailor presentations to meet accessibility guidelines.

Student Support 

  • Advise students on program options, deadlines, general policy, and in-country requirements.
  • Prepare and deliver information sessions to undergraduate/graduate student groups, D.O. students, and Master’s students.  
  • Respond to student health and safety concerns, collaborating with the appropriate program director, assistant dean, or dean to resolve the issue.
  • Devise roommate assignments based on Office for Education Abroad (OEA) policies and procedures.

 

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in International Relations, Foreign Language, Communication, or Higher Education Administration; three to five years of related and progressively more responsible or expansive work in study abroad administration at a four-year college or university or at a study abroad organization including program coordination, international programming, and project management; prior experience living, studying or working abroad in the location of the program; or an equivalent combination of education and experience. Bilingual in English and Spanish.

Desired Qualifications

This role requires a good deal of independence, self-direction as well as sound judgment. Must be able and willing to work fully in-person, 5 days / week; occasional evening and weekends are also required. Proficiency in Spanish is essential for frequent communications with vendors and stakeholders, as well as interpretation for visiting delegations. Must be able to work with international students and partners in a global/international environment. Proficiency in other foreign languages such as Portuguese, French, or Arabic is beneficial.
