Position Summary
Reporting directly to the Director of the MSU College Advising Corps (CAC) Program, Associate Program Coordinators play a critical role in the planning, communications, and execution of this federally funded AmeriCorps program, including recruitment, professional development, and supervision of College Advisers serving at up to 35 high schools across the State of Michigan. Three positions are available, each located in one of three geographically designated areas in the State of Michigan: Eastern Michigan (metro-Detroit area), Central Michigan (Greater Lansing area), Western/Northern Michigan (greater Kent, Muskegon, Newaygo County areas).
This posting is specifically for the Eastern Michigan (metro-Detroit area) region.
Position duties can primarily be completed remotely; however, travel to the MSU campus for professional development will be expected several times a year, along with periodic site visits to high schools within the assigned region. This is a support staff non-union position within Michigan State University.
Supervision, Communication, Training, and Event Coordination
- Daily and ongoing supervision, coaching, and mentoring of remote advisers serving partnered high schools within specific geographic areas of Michigan (Eastern). This includes establishing and maintaining ongoing, effective communications with cohort of College Advisers. Coaching includes assurance of meeting service deliverables, appropriate tracking of data, outcomes, submitting reports, meeting all program deadlines, observing all program policies and procedures, acting in alignment with MSUCAC’s core values and ensuring advisers remain engaged with students, parents, school, and surrounding communities, in which they serve.
- Perform periodic analysis of adviser outcomes to quickly identify if gaps exist while working with the adviser and partner high schools to implement an improvement plan for increased performance where appropriate.
- Take a lead role in Communications, Professional Development, and Recruitment regarding MSUCAC to both internal and external stakeholders and in consistent efforts led by the Director of the MSUCAC Program.
- Ensure advisers are appropriately connected to MSUCAC to serve as resources for their school, staff, students, and community.
- Fosters collaborative relationships with MSUCAC partner high schools, administration/staff, students, community, local college access networks, and other organizations who support the work of MSUCAC (college access). This includes ongoing and positive communication, site visits, and proactive follow-up to issues that may arise. Consults regularly with all program partners on program services and supports for the betterment and success of the program.
- Recommends, develops, and conducts adviser professional development trainings, workshops, and seminars (synchronous/asynchronous) on appropriate topics throughout the year. Contributes to planning and participates in the annual, intensive 4-weeks summer residential training, College Month activities, Decision Day, and any other events geared to support the college access work of MSUCAC, its partners, schools, communities, and/or students.
- Research and identify event opportunities, on MSU Campus and in local communities, to generate interest in program, services, and AmeriCorps service as part of program recruitment efforts.
- Attends adviser planned and lead activities at partner high schools, to support the adviser, schools, and community partners to observe activities first-hand, ensuring an MSUCAC presence, fostering continuous relationship building, and strengthening service and support to advisers, schools, and communities.
- Travels, almost exclusively in-state, to events within partnered school communities.
- Assists with the creative planning for, and implementation of, recruitment strategies for Near-Peer college graduates promoting as service opportunities to ensure the diversity of advisers are reflective of the communities served.
- Contributes to planning, coordination, and implementation of candidate interview processes and events.
Resource Development, Compiling and Reporting Assessment Data, and General Administrative Tasks
- Maintains records and processes appropriate forms for advisers including timesheets, reimbursements, evaluations, and program budgets.
- Conducts research on assigned projects/events and for the development of new projects and conduct pre- and post-event evaluations and report on outcomes.
- Acts as liaison between vendors and users in order to obtain requested project/event materials.
- Supports MSUCAC Program in the administration of the program including specific grant/funder requirements. Monitors AmeriCorps and other funder grant requirements to ensure all provisions are met by program staff and advisers in the field.
- Coordinates, evaluates, and prepares reports on project/event activities.
- Other duties as assigned.
Financial Management
- Assist in the oversight of program budget with financial projections for position specific activities such as recruitment, professional development workshops, and adviser evaluations and site visits.
- Direct responsibility of expenditures, reconciliations, and financial tracking for adviser’s program costs during program year.
- Research, create, and maintain funding opportunities within the designated service area for the financial assistance of program, advisers, and services.
This position is a hybrid position located in a specific geographic area of the State of Michigan (Eastern) and is currently funded through June 30, 2026 with possible extension contingent upon funding renewal.
Minimum Requirements
- Knowledge equivalent to that which would normally be acquired in a four-year college degree in Public Relations, Communications, Business
- One to three years of related and progressively more responsible and expansive work experience in a field related to the position including, but not limited to:
- Planning and managing special events
- Budgets (expenditures, reconciliations, and projections)
- Communications (internal and external; marketing, social media)
- Education (college access, student success)
- Supervision of 10+ staff in remote positions
- Direct service to students, parents, schools
- Partnership development and fostering (schools, community orgs, etc.)
- Experience with a variety of students from a range of populations
- Or an equivalent combination of education and experience.
- Strong working knowledge of federal granted programs, specifically AmeriCorps
- MS Office Suite, Google Suite products, Canva, and data tracking systems
- Presentation skills to varying audiences (students, parents, schools, community organizations) and size is a must
- Position requires software specific to the operational activities of the employing unit in eGrants, OnCorps, and GRACE.
