Academic Affairs Secretary

Position Summary

The College of Nursing is seeking applications for a Secretary in the Office of Academic Affairs. This position will work directly with the Office of Academic Affairs (OAA) in the College of Nursing. The Academic Affairs Secretary will be responsible for a variety of key activities within the OAA. This individual will be responsible for compliance and coordination of proctoring for nursing student accommodations including Kaplan and Safe Medicate systems. This position ensures alignment and adherence to various MSU policies, procedures, systems and resources related to student accommodations. This individual will provide support for the Certified Registered Nurse Anesthetist (CRNA) program by maintaining CRNA program data and records, collaborate with various CRNA faculty and program director, compliance and contract maintenance along with coordinating student interviews, etc. to ensure alignment with COA standards. This position will carry out duties related to the smooth, effective and efficient operations of the Office of Academic Affairs which include but are not limited to assisting with all nursing student compliance maintenance and contract maintenance, generating expense and general reports, submitting financial documents such as reimbursements for travel or supplies etc. The College of Nursing programs require additional assurance and regulations related to state and federal accreditation. This position will be a part of the policies and procedures development, implementation and maintenance to support ongoing compliance with regulations.

Position responsibilities include but are not limited to:

  • Develops, maintains and updates proctoring schedule with primary proctor and back up proctor schedule
  • Works with IT staff to provide sets up, clean, reset and schedule rooms and additional proctors (if needed) for all student proctoring in the College
  • Provide support for scheduling for the program director (PD) and assistant PD of the CRNA program
  • Provide support for NA faculty related to professional approved travel and reimbursement
  • Provide general office duties such as drafting and proofreading documents, updating databases and systems, generating reports, etc.
  • Provide back-up personnel support within the Office of Academic Affairs

Minimum Requirements

Knowledge equivalent to that which normally would be acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in customer service, experience in office management or an administrative role; experience in word processing, spreadsheet, database and/or desktop publishing software; or an equivalent combination or education and experience.
