Position Summary

The Program in Mathematics Education (PRIME) is seeking a detail-oriented and highly organized Academic Program Coordinator that will be responsible for the administrative functions necessary to maintain the PRIME Graduate program.  This position serves as assistant to the Program and Director and the Graduate Program Director and a primary point of contact and liaison for prospective students, current students, and other important constituents, acts as a resource to faculty, staff, and graduate students regarding department, college, and university policies.

Graduate Program Student Progress

Maintains student academic files and program databases; assists faculty and students with course registrations, overrides, and grade changes; monitors course incompletions, deferrals, and grade extensions; monitors student progress through completion of the Ph.D. program and post-graduation employment; compiles graduation statistics; maintains student database.

Graduate Program Admissions

Prepares and arranges student materials for faculty admission decisions; prepares student acceptance packages and assists with the enrollment process; assists with prospective domestic and international student inquiries related to admission; prepares admissions reports for department and program administrators as requested.

Financial Transactions

Provides support in processing financial transactions, including but not limited to: pre-trip travel requests, travel arrangements and scheduling, compiles receipts, and submits reimbursements and/or vouchers; assists in providing reports related to the program budgets; assist with payment to vendors; acts as program liaison with various campus and off-campus offices related to financial transactions.

General Office Support

Monitors class enrollments, assists faculty with coursework, including review of documents, copying, printing, and scanning; coordinates student employees work assignments; assists with scheduling faculty meetings and room reservations; attends and completes minutes of faculty meetings; performs and assists with other duties as assigned.

 

Event Support

Provides support for the program events including, but not limited to scheduling room reservations; distributes event flyers and other communications, assists with questions and setups during day of event; serves as point of contact for guest(s); assist with coordination, planning, and purchase of event food.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate's degree in business, education, higher education, psychology, business or a related field which corresponds to the area of employment; one to three years of related and progressively more responsible or expansive work experience in university/college/academic admissions or related administrative position; or an equivalent combination of education and experience.

 

Desired Qualifications

Experience with curriculum issues as they relate to matriculated students; working knowledge of EBS, eFellowship system, Microsoft Office Suite, Slate, Campus Solutions, SAP, D2L, Omni CMS, SharePoint, Teams, Google and Outlook Calendars; demonstrated ability to be a team player and self-starter with excellent organizational and interpersonal skills, a creative thinker and problem solver; ability to work on several projects simultaneously in a deadline-oriented environment; strong communication skills; extensive knowledge of University Graduate programs, policies and procedures;  experience in creating and maintaining websites and social media presence. English language proficiency; bilingual desired though not required.
