Digital Scholarship Lab Coordinator

Position Summary

Reporting to the Head of Digital Scholarship Services, the Digital Scholarship Lab Coordinator is responsible for the day-to-day operations of the Digital Scholarship Lab (DSL) spaces and service points. This position supervises DSL student workers, coordinates space usage for the DSL, manages the DSL calendar and request workflow, and ensures prompt response to inquiries and requests. A key member of the DSL team, this position is expected to regularly attend and contribute to Team meetings, collaborate with colleagues in provisioning services, and maintain effective working relationships with DSL partners, stakeholders, and affiliates.

Duties and Responsibilities

  • Hires, trains, evaluates, schedules, assigns work activities, and supervises work of student employees and prepares and monitors student payroll and personnel records.
  • In consultation with colleagues, revises, updates, and generates training materials supporting a consistent level of service.
  • Monitors shared DSL email and request workflows, ensuring prompt response to room and consultation requests, referring questions to DSL staff members and affiliates, as appropriate.
  • Keeps calendars and request workflow up to date, coordinates equipment checkout and schedules of workshops, class instruction, and events led by DSL staff, collaborators, and partners.
  • Sets and resets classrooms and area for class, workshop, and event bookings.
  • Answers basic questions about the DSL, its spaces, technology, and services and provides tours to diverse constituents.
  • Coordinates external communication about events, programs, and services through DSL listserv, website, and social media.
  • Communicates room use policy to student workers and users.
  • Becomes proficient in technologies hosted by the DSL, such as the 360 room, VR, 3D scanning, digitization, and specialized computing.
  • Participates in ongoing training and professional development to acquire skills and expertise in DSL technologies.
  • Attends Public Services meetings and other appropriate library-wide meetings, including safety and security meetings and training.
  • Serves as Emergency Action Team Leader for DSL and keeps staff informed of wider library policy and procedure issues and decisions.

Working hours are Monday-Friday, 8:30am-5:00pm, with occasional flexing of time required for events and desk coverage.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program; one to three years of related and progressively more responsible or expansive work experience in an office setting; experience with database, spreadsheet, word processing, library automation system support and web page design; or an equivalent combination of education and experience. May require recent experience in an academic library and/or the ability to read and translate one or more foreign languages. 

Desired Qualifications

Recent work experience in public service position in library, IT, or university setting; experience with Microsoft Office apps (esp. Outlook, Teams, and OneDrive) and productivity software (such as Trello)

Ability to collaborate well with others and help to foster a welcoming environment; strong commitment to customer service; excellent interpersonal skills and the ability to lead and work independently and collaboratively with diverse faculty, staff and students; student supervision and/or management experience; technical expertise with computer systems, immersive technologies, virtual reality, and/or Adobe Creative Suite; capable of quickly learning new technologies; experience developing training materials or programs.
