Position Summary

Basic Function

Compile, prepare, review, evaluate, research and record information as it pertains to the processing and recording of gifts and pledges to Michigan State University. Make daily decisions regarding proper recording and disbursement of gift monies. Independently communicate with University personnel and donors regarding IRS regulations and University Policies as they relate to charitable contributions for non-profit organizations.

Use appropriate level of judgment to interpret gifts and pledges which are unusual, incompletely documented, require a high degree of sophisticated interpretation or are otherwise problematic. Further determination must also be made as to whether the money is considered legally to be a gift according to University, State and Federal guidelines.

Perform complex entry of gift and pledge related entities using set format specifications on a highly complex relational database. This position is responsible for maintaining up-to-date biographical information on alumni and donors as gifts and pledges are processed, following procedures and guidelines as instructed on all tasks. Incumbent must adhere to confidentiality of donor information and consistently meet or exceed productivity measures and accuracy standards established by the department.

 

Characteristic Duties and Responsibilities

  • Process University gift and pledge related transactions, including gifts of securities, estate, and other types of major gifts, in-kind (non-cash) transactions, memorial gifts, honorarium gifts, corporate, and corporate matching gifts. Enter information, using related tools, while independently applying research, analysis, and problem-solving skills, and at all times adhering to appropriate policies and procedures.
  • Edits, codes, and verifies source documents using multiple entry methods including using imaging software.
  • Receives or collects information and processes it according to standard procedures in order to enter it into the databases or forward it for further processing.
  • Completes project work independently in order to facilitate the functioning of the department or section.
  • Verifies and analyzes data in order to ensure accuracy and resolves inconsistencies and discrepancies in data.
  • Processes complex and diverse information and independently renders decisions in order to process data or request specific actions for follow-up.
  • Answers phone calls and responds to emails from donors, alumni, and MSU staff in order to resolve problems with their records.
  • Serves as back-up receptionist using a multi-line phone system.

  • Staff/Co-workers – in order to assist with questions and problems relating to coding, data entry and office procedures
  • Supervisor – in order to ask questions pertaining to work being performed, receive direction and training and to assist in meeting deadlines
  • System Analyst/Programmers – in order to verify information if problems arise pertaining to computers or programs
  • Other Departments – in order to enter data and programs jobs as requested
  • Public – in order to provide services

Error in the accuracy of collected or distributed data could cause incorrect decisions to be made by departments, University officials and/or external customers.  The quality of the work performed reflects upon the image of the Department, it’s staff and the University as a whole.  Errors are usually detected and easily corrected.

Work Environment

Standard office environment. The job requires moderate physical effort and involves sitting and viewing a VDT screen and eye/hand coordination more than 75% of the time.

Unit Specific Education/Experience/Skills

Knowledge normally acquired from specialized training such as that acquired in one year of Data Processing, Key Punching, or database entry; six to twelve months of related and progressively more responsible or expansive work experience in data processing, key entry or database entry; requires spreadsheet and/or word processing experience; or an equivalent combination of education and experience.
