ECE Shared Discovery Administrator

Position Summary

This position provides support to the Shared Discovery Curriculum in the College of Human Medicine; Provides support for all aspects of the external clinical experience. Provides information and assistance to students and faculty fellows and advises them of potential solutions to problems and courses of action; assists faculty and students in understanding time lines and expectations related to curriculum; processing/preparation of curricular materials, uploading materials to the web; creates and maintains computer resources for the curriculum; collects and interprets information in order to produce reports and provide information for administrators, faculty, staff, and others; assists in planning for physical facilities, equipment, courses and other services needed regarding the delivery of the curriculum; submits grades and maintains appropriate paperwork files; proctors exams; assists other curriculum teams as needed; follows University and department policies and procedures in order to address and resolve questions and problems.

Responsibilities:

30% CURRICULUM ADMINISTRATION

  • Uses multiple technological resources to organize and arrange course materials for the students. Utilizes computer applications to deliver on-site assessments during different educational experiences.
  • Reserves and prepares classrooms, laboratories, and lecture halls after analysis of teaching calendar requirements and faculty availability in order to facilitate effective delivery of the curriculum.
  • Ensures that the centralized repository for curriculum information and standard operating procedures is complete and current. Works with critical stakeholders to review/update content on an annual basis.
  • Develops and maintains information gathering systems using various tools such as Access, Qualtrics, and TopHat to monitor and report on key curriculum-related data.
  • Responsible for creating ad hoc reports with a variety of programmatic information such as attendance or assessment data in order to address curricular needs.
  • Manages the process of evaluations for faculty and educational experiences to ensure the effectiveness of the overall curriculum. Communicates individual concerns and aggregate results to leadership and prepares reports for faculty preceptors to foster continuous improvement.
  • Manages calendar invites, reserving rooms or video meetings, and taking minutes as needed to support curricular committee meetings, and student and administrative groups.
  • Assists with coordination and administration of workshops, special events, and special programs in order to facilitate effective delivery of the curriculum.
  • Maintains and ensures clear communication of curriculum-related policies and procedures to college stakeholders in order to advise them of potential solutions to problems and courses of action.     

30% CLINICAL SHIFT ADMINISTRATION

  • Acts as primary contact for clinic administrators regarding questions or issues surrounding student participation in clinical shifts to create effective business partnerships.
  • Interfaces with external clinical partners to negotiate student rotation schedules, ensuring necessary training and security access is available for students. Familiarizes clinics with MSU policies and procedures including student expectations. Communicates student schedules in advance of each weekly rotation and troubleshoot issues that arise.
  • Troubleshoots daily issues that may arise due to lack of clinical shift or student absence. Coordinates students’ makeup assignments or shifts so that students receive all required learning experiences.
  • Manages the process of evaluations for external clinical sites to evaluate student performance. Communicates individual concerns and creates reports for leadership and, in certain cases, clinic sites.
  • Conduct in-person clinic visits if deficiencies arise that need to be addressed.

20% STUDENT SUPPORT

  • Serves as the initial point of contact for student questions and urgent concerns. This could include urgent safety or health concerns experienced by students. Triages and problem-solves issues and involves appropriate faculty and administrators as necessary.
  • Distributes appropriate security badges, coordinates required training, and communicates individual clinical shift schedules to students, resolving any conflicts that the student may identify to ensure students are prepared for clinical assignments on the first day of the rotation.
  • Tracks attendance for students and facilitates additional clinical shifts if needed. Records all clinical shifts and coordinates makeup assignments to ensure students have completed required rotations as defined in the syllabus.
  • Develops and produces supplement tools for students for use with clinical shifts, such as hospital/clinic maps, contact information, detailed instruction sheets, and familiarization videos.
  • Maintains student course records and ensures that information on student progress is uploaded to appropriate data sources to ensure accurate student data.

10% FACULTY SUPPORT

  • Interfaces with faculty members from various departments to create complex schedules. Logs faculty teaching hours in College Educational Assignment System so that faculty requirements are accurately accounted for.
  • Develops materials to support faculty in their teaching needs, including technology familiarization materials and practice sessions. Facilitates the setup and smooth delivery of course materials by the preceptor and troubleshoots issues that arise during course presentations. 
  • Manages course evaluation information from students, including preceptor feedback. Shares feedback with appropriate faculty and leadership to foster continuous improvement.

10% OTHER CLINICAL EXPERIENCES DUTIES

  • Proctors and ensures the security of National Board exams.
  • Stays up to date with technological advances and best practices.
  • Actively participates in goals and initiatives of the overall Clinical Experiences and CHM team.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Education, Health Education, Educational Administration or a related field; six months to one to year of related and progressively more responsible or expansive work experience and knowledge of curriculum in the area of employment; word processing, database, spreadsheet and presentation software; or an equivalent combination of education and experience.

Desired Qualifications

Proficiency with Google Docs, and Microsoft Office 365, software; must be a self-starter with high attention to detail, good decision-making skills and the ability to work independently on multiple projects simultaneously; experience editing and composing documents/correspondence; familiar with office procedures, including management of databases, committees, and written reports, scheduling meetings and conferences, and use of the web; demonstrate strong organizational skills and ability to interpret information and creatively solve problems; ability to establish and maintain effective working relationships with faculty, staff, and students; experience providing excellent customer service; ability and desire to work effectively and collaboratively as part of a team.

Special Instructions

This position is based in East Lansing with occasional travel between campuses. Evening or weekend hours may be required to meet project deadlines, proctor exams, and support college events.
