Position Summary

This position will have a priority, though not exclusive, focus on space planning and management for the units that report to the Office of Health Sciences: the Colleges of Human Medicine, Nursing, and Osteopathic Medicine and MSU Health Care, Inc (HCI).  Working with representatives from these units and from other campus units who can speak to their respective unit’s program direction and goals, the Space Planner/Project Manager will address current space issues or problems; assist with identifying future space needs in alignment with program goals; develop program statements and space analyses; prepare audits and analysis of space; develop plans and recommendations that support the University mission and individual unit missions, including recommendations to align with appropriate utilization and stewardship of facility resources.  This position also participates in the formulation of space policies, space planning guidelines, and metrics at the University and unit levels; assesses, develops, and coordinates facilities and space initiatives and alteration and improvement projects, ensuring that programmatic requirements are met through project completion; and serves as the liaison between academic and academic support units, Infrastructure Planning and Facilities, and other service providers.  

 

Characteristic Duties and Responsibilities

  • Receive, assess and address space requests and sensitive space management problems; consider, identify and recommend creative and strategic solutions to complex space issues and future use of vacated space.
  • Assist units as necessary to obtain additional or temporary space both on- and off-campus, serving as the liaison between the units and other campus partners (e.g., Infrastructure, Planning and Facilities; Real Estate Operations; Environmental Health and Safety, etc.).
  • Collaborate with units to understand program objectives, priorities and long-range plans in order to assess current and predict future programmatic space needs in alignment with unit growth trajectories.
  • Conduct space audits and space utilization analyses and reports and develop space scenarios to inform leadership decisions.
  • Guide units from start to finish through the processes related to addressing space issues, to include developing program statements, defining space requirements, identifying and evaluating space options and creative solutions for smaller scale projects (e.g., renovations, furniture solutions, etc.), developing working budgets, ensuring project completion and coordinating final move-in.
  • Partner with University units, campus and external architects and consultants, and other planning partners during the scoping, design, and budgeting phases of larger scale projects to ensure both unit and institutional interests are met.
  • Contribute to unit strategic planning activities related to new initiatives, capital outlay, and campus planning.
  • Suggest, develop and maintain policies, guidelines and tools that support responsible stewardship of University space (e.g., office space guidelines, research space productivity metrics) taking into consideration new work location paradigms (e.g., hybrid).
  • Represent OHS and the University with a diverse range of internal and external constituents in an effective and professional manner using respectful, persuasive, and polished communication and presentation skills.
  • Assist units with MSU Space Inventory updates and reporting.
  • Assist OHS units with preparation of the annual budget and planning process associated with the Alterations and Improvements (A&I) and Space components:  schedule and facilitate meetings with unit representatives and/or user groups to understand potential requests and needs; assess and advise unit leadership on rationality and prioritization of requests and matching funds; develop formal A&I proposals for submission; participate in design and construction meetings for funded requests. 
  • Coordinate logistics of unit relocations and move planning resulting from new construction, renovations or negotiated moves.
  • Create new and supplemental reporting models to support strategic space planning.

Unit Specific Education/Experience/Skills

Knowledge normally acquired by completing a four-year college degree program in an appropriate field of space management, data management, planning, architecture, organizational behavior, engineering, or a related field; three to five years of related and progressively more responsible or expansive work experience in space planning and programming, data collection and analysis; interpreting maps, plats, and construction plans, AutoCAD, Building Information Modeling tools, CAD & GIS; REVIT Navis Works, electronic document management systems (EDMS); or an equivalent combination of education and experience.

Desired Qualifications

Previous project management and capital planning experience in a university or college environment; self-starter with ability to manage multiple projects from conception to completion in a decentralized environment; experience with CAFM applications; working knowledge of AutoCAD;  strong interpersonal and communication skills (oral and written) with a customer service orientation; willingness and ability to listen, gather and analyze information, problem-solve and develop solutions, working with a variety of constituents from both academic and business environments; ability to establish and maintain effective working relationships with diverse teams of people at all levels of the institution; demonstrated commitment to the principles of diversity, equity, and inclusion.

Spatial Skills and the ability to read and interpret floor plans are also required.
