Donor Relations Assistant

Position Summary

BASIC FUNCTION AND RESPONSIBILITIES

Provides secretarial support and assists in the administrative and functional aspects of the office. This includes but is not limited to University Advancement donor correspondence and the gift acknowledgment process. Independently compiles, analyzes, and interprets all gift-related donor data to ensure accurate donor acknowledgments. Works independently to render decisions and draft communications from the department. In addition, apprises internal constituents and donors to facilitate the functioning of the department.

CHARACTERISTIC DUTIES – RESPONSIBILITIES

OPERATIONAL:

  • Interacts with University personnel, including college development officers and staff within the Office of the Vice President of Advancement and Office of the President, in order to exchange information. 
  • Completes work independently to improve the department’s operations.
  • Assists in developing plans, objectives, policies, and procedures for the day-to-day operations of the department. 
  • Arrange regular meetings for consultant visits and university-wide donor relations coordinators with the central team. 

PROCESS MANAGEMENT:

  • Receives, collects, and verifies donor and gift information and makes independent judgments to ensure that records and communications are correct.
  • Processes complex and confidential information to analyze options and resolves problems.
  • Researches and collects data to assist in the preparation of donor correspondence and departmental reports.
  • Ensures donor information is accurately maintained and updated when errors are identified.

PRODUCTION MANAGEMENT:

  • Reviews, processes, and mails gift acknowledgements and special donor correspondence and reports.
  • Reviews and edits department documents and correspondence.
  • Prepares and processes internal and external requests to ensure materials are ready when they are needed.
  • Researches and collects data to assist in the preparation of gift acknowledgments, proposals, stewardship reports, and special donor correspondence.

COMMUNICATIONS – INTERPERSONAL RELATIONSHIPS

Interacts with:

  • Supervisor - to set objectives, develop policies and procedures, discuss projects and concerns, provide secretarial support, and exchange information.
  • University Administrators - to exchange information, relay messages, and arrange appointments.
  • Faculty/Staff/Students - to exchange information and assist in problem solving.
  • Co-workers - to assist in the completion of duties, exchange information, and resolve problems.
  • Donors - to relay information about MSU and their donations, and schedule appointments and meetings.

Errors in the accuracy of entering, interpreting, or distributed data could result in incorrect decisions and/or loss of goodwill with donors. The quality of the work performed reflects upon the image of the department, its staff, and the University.

Work Environment

Standard office environment. The job requires moderate physical effort and involves sitting in one position and viewing a computer screen 75% of the time.

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database and/or desktop publishing software; presentation and webpage software; typing and filing; maintaining accounting ledgers; may require knowledge of technical or medical terminology and/or technical knowledge or training related to the field of employment; or an equivalent combination of education and experience.

  1. May require a valid vehicle operator's license where needed to perform duties of the position.
  2. This position requires or will require, prior to the completion of the probationary period, knowledge of basic personal computer terminology and operations and the ability to use e-mail and the Internet.
