ISPM Data Manager

Position Summary

Institutional Space Planning & Management (ISPM) is seeking a talented and experienced Data Manager to design and conduct data collection, establish and manage data governance, and produce reports to support space and facilities planning and decision making through data-driven information.  The successful candidate will collaborate with various campus units including College and Administrative Units, Infrastructure Planning and Facilities, Office of Sponsored Programs, and external service providers to create or interface with digital data systems or models; and recommends enhancements to business processes to improve data collection and results.

Characteristic Duties and Responsibilities

  • Coordinates the maintenance and quality assurance of space and facilities data and space inventory at a building and room level; performs planning tasks including preparation of planning reports and analysis to document space conditions and potential changes. [20%]
  • Prepares and conducts audits of space including on-site reviews to collect and verify data, and develops databases, reports and recommendations that support the University mission and its units, as well as appropriate utilization of facility resources. [20%]
  • Joins data in relational databases for analysis and reporting purposes; and conducts analyses of a broad range of University facilities data as a basis to inform strategic planning, administrative policy determination/implementation and decision-making. [20%]
  • Collaborates with, advises and trains other offices and academic units in the maintenance of space and facility data; coordinates distribution of facilities space data to campus users; responds to information requests which may be recurring or ad hoc; provides training, security and user support for web application and data coding questions; builds reports in a BI environment; provides analytical and technical assistance and contributes to group projects. [15%]
  • Develops campus space utilization metrics using multiple data sources and reports; generates reports for space inventory surveys, benchmarking, and key performance indicators; and provides reporting on space data and metrics for collaboration in developing strategic space and facilities initiatives. [15%]
  • Initiates and performs tasks associated with the design, implementation, and maintenance of facilities-related computer applications including systems analysis, testing, developing documentation, and provides training in the use of such applications. This position will also support the integration, migration, and maintenance of databases, and external communications. [10%]

Errors in direct and indirect support of current operations and long-range planning would adversely affect the success of programs, services and operations while causing large losses of time and resources and widespread inconvenience to internal or external groups of people.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally be acquired by completing one or two years of post-bachelor degree work, such as a Master’s degree in Systems Science, Education, Evaluation, Statistics or Data Management; five to eight years of related and progressively more responsible or expansive work experience in research design or data management methods; experience with business system analysis, methods and procedures and/or information systems; or an equivalent combination of education and experience.

 

Desired Qualifications

  • Knowledge of relational database systems and experience with complex data analysis for reporting; familiarity with Tableau or other visualization software, dashboard creation, Oracle, SQL, SAS and web-based applications is desirable.
  • Experience with Enterprise Business System applications and procedures; and with business intelligence (BI) systems and report building.
  • Experience with Integrated Work Management Systems, preferably in a university or college environment, with ability to read floor plans. 
  • Working experience with Microsoft software products including Access, Excel, Word and PowerPoint.
  • Familiarity with Space and/or Facilities Management and Facilities Inventory and Classification Manual (FICM) coding system for higher education space inventory
  • Strong interpersonal skills, with the ability to cultivate collaborative relationships inside and outside the organization.
  • Excellent work organization skills, with the ability to attend to detail and flexibly manage multiple activities in a deadline-oriented environment.
  • Experience communicating effectively and supporting users of software systems using a strong customer service orientation.
