Radiology HR Coordinator

Position Summary

This position provides support for the Department of Radiology by coordinating Human Resources activities of our growing department composed of 127 clinical, academic and research personnel with identified positions for 10% growth in faculty and academic staff over the next 2 years.  

Reporting to Colleges of Osteopathic and Human Medicine, the Department of Radiology supports several university missions. Our physician faculty are Radiologists providing outstanding patient care at the MSU Health Care Imaging Clinics on campus and at local hospitals through our partnership with Spartan Radiology.  Our research faculty have a strong research program, ranking within the top 50 nationally for NIH funding, and rising every year.   Academically, our faculty are training future generations of highly skilled and compassionate physicians as well as educating undergraduate and graduate students.  Part of our department outreach includes stewardship of the Radiology Healing Gardens, a calming environment for patients, visitors, students and university employees. 

The position provides a variety of tasks and projects spanning the employment cycle and across various employee groups on campus.  These include:

  • Employee recruitment and reappointment processes such as advertising and/or working with physician recruiters, scheduling interviews for efficient and effective recruitment outcomes, I-9 and background check processes, facilitating steps for international hires, assisting search committee chairs and affirmative action advocates, monitoring postings for new applications, assistance with offer letters and appointment memorandums.
  • Maintaining department HR records such as employee personnel files, physician licensure records, performance excellence activities for support staff, faculty RPT information, digital record keeping in designated secure space, and coordination with central and college HR offices as needed.
  • Overseeing orientation and on-boarding training for effective and efficient deployment of resources to include training of new search committee members, creating and completing onboarding checklists, providing HR information during the interview process to set clear expectations, training on time entry and time recording processes, completion and disposition of termination or separation checklists, assisting with departmental communications on MSU policies and procedures, and assisting with the physician updates and credentialing requests.
  • Support for faculty members and administrative personnel for needs related to travel or conference attendance, purchases, reimbursement, course or conference material presentations and CV updates.
  • Departmental reports from various sources on employee activities to track end dates, scheduling reappointment paperwork, updating department organization chart and salary and payroll lists.
  • Assist with department administrative office support in the front reception area, answering phones, distributing and sorting mail and oversight of common areas.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in human resources, a related social science field, or a field related to the operations of the department; six months to one year of related and progressively more responsible or expansive work experience in a human resources function or an area related to departmental operations; or an equivalent combination of education and experience.

Desired Qualifications

  • Bachelor's degree in Human Resources or equivalent experience
  • Experienced at recruitment efforts to include but not limited to: advertising, working with professional recruitment firms, coordinating conference events, all aspects of faculty interviews and onboarding
  • Certified Human Resources Specialist (CHRS) experienced with MSU hiring processes for academic HR, support staff, students and temporary employees
  • Proficient in MS Word to include mail merge and use of sections with formatting to combine multiple documents into a single offer letter file saved as both editable .DOC and .PDF 
  • Proficient in MS Excel to include basic formulas and entry of mail merge data as well as embedded excel tables in MS Word documents 
  • Familiar with MSU personnel record retention schedules and files management including electronic record keeping
  • Proficient with Office 365 functions such as SharePoint, Teams, Forms and One Drive
  • Experienced with Outlook calendaring to assist with schedules
  • Ability to work with interruptions and reset priorities as needed when Human Resources issues arise
