Searches, verifies and processes books received through the BTE28, HAR59 and HOG82 approval plans. These plans contain foreign language items and are moderately complex compared to our shelf-ready approvals. Tasks include exporting or hand-keying appropriate bibliographic records with orders attached for receiving and paying purposes. Corresponds with vendors as needed in order to resolve questions. Approves and pays invoices; coordinates and oversees the Bibliographic Support Unit. Collaborates with bibliographers regarding questions and goals for projects. Independently hires, trains, assigns and supervises Bibliographic Support student employees. Monitors the student payroll and budget. Develops, writes and revises procedures and visual/written training materials for Unit; shares responsibility of hiring, training, assigning and supervising Acquisitions student employees. Shares in the monitoring of the student payment and budget. Shares in the development and revisions of student procedures; searches, verifies and processes books received through the Acquisitions gifts workflow. Tasks include exporting or hand-keying appropriate bibliographic records. Attaches order record for books that cannot be processed with the shelf-ready procedure for receiving and t-locing purposes. Searches, verifies and creates order records for Randy Scott’s University p-card orders and searches, verifies and creates order records for the Faculty Book Collection. This processing is time sensitive; performs monthly maintenance functions of e-journal and e-book records related to ERM Serials Solutions loads including deleting bibliographic, item and check-in records as directed. Monitors email lists of expected US Government Document shipments to make sure all are received. Contacts appropriate office when an expected shipment isn't received in a timely manner. Contacts appropriate office when an expected item is missing from a shipment. Shipping lists and items arriving as part of our LCCAP plan can be received over a period of months, or even years. Creates and maintains spreadsheets to track LCCAP items received without shipping lists, or for shipping lists received with missing items in order to reconcile the items received.
Unit Specific Education/Experience/Skills
Knowledge normally acquired in the first two or three years in college, technical, vocational or business school; one to three years of related and progressively more responsible or expansive work experience in an office setting; experience in record keeping, data entry/retrieval, database, spreadsheet, word processing, composing, editing, and proofreading web pages; knowledge of library automation system support; or an equivalent combination of education and experience. Recent experience in an academic library and/or the ability to identify information and/or read and translate one or more foreign languages.
Strong written and verbal communication skills; the ability to work independently and as a member of a team.
