This position will be located in East Lansing and will support the MSU College of Osteopathic Medicine Office of Medical Education. Primary functions are to provide customer service to osteopathic medical students; to collaborate and communicate with students, staff, faculty, administration, and outside partner institutions to support college programs and services. Specific job duties and responsibilities include but are not limited to: schedule appointments; compose office email communications; provide office front desk support; create, update, and maintain office web pages; assess documents for web accessibility; create presentations, reports, charts, and graphs; update and maintain databases; plan, schedule, and office meetings; take and distribute meeting minutes; process EBS transactions/reimbursements; complete travel authorization forms in Enterprise Business Systems (EBS); order and organize office supplies; maintain office common areas; and any other level-appropriate tasks, as needed. The position involves accessing systems that house student information protected by the Family Educational Rights and Privacy Act (FERPA), including, Electronic Student Academic Folder (ESAF), SIS (MSU Student Information System), COMSIS (COM Student Information System), and Grader (MSUCOM student grade database).
Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education with coursework in typing and shorthand; one to three years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database, and presentation software; or an equivalent combination of education and experience.
One to three years of related and progressively more responsible or expansive work experience in a professional or academic office setting; ability to handle confidential material with complete discretion; strong writing, editing, and proofreading skills; ability to draft coherent written documents using standard rules of English grammar and punctuation; ability to create complex and detailed spreadsheets; strong verbal and written communication and professional interaction skills; good customer relations/service skills; ability to work as an effective member of a diverse team; ability to give and receive constructive feedback; self-starter who is able to work with minimal supervision on assigned tasks and make independent decisions consistent with established policies and protocols; established problem-solving and critical thinking skills; ability to check work for accuracy; ability to maintain an organized work environment, manage multiple priorities, tasks and projects simultaneously, meet deadlines, as well as maintain focus and attention to detail in busy environment with frequent interruptions; ability to remain calm and show compassion and empathy when interacting with students who are in emotional distress; demonstrated interest in professional growth and development. Experience in an undergraduate or graduate medical education setting; familiarity with MSU systems such as EBS, Cascade Server, D2L, and SIS; knowledge and understanding of University policies and procedures; experience with webpage software; experience with Adobe PowerPoint and Acrobat Pro; ability to be creative and innovative.
