This half-time position will provide clerical support for the director and other staff; Works with faculty, staff and students; Develops and maintains records for unit in order to assist with budget planning, forecasting and reporting; Prepares monthly reports on unit's performance which encompasses a variety of financial and non-financial metrics;
Initiates and handles all paperwork associated with hiring and/or creating staff positions in the unit; Follows University and departmental policies and procedures in order to address and resolve questions and problems; Creates and develops policies and procedures for the unit as needed; Processes incoming and outgoing mail and deliveries; Answers phone calls and routes as necessary; Establishes and maintains departmental files — physical and electronic; Maintains calendar and schedule of appointments for director and staff; Manages and triages emails for the director; Performs minor edits to web pages (through online templates); Enters business card data and maintains contact information for director and staff; Schedules, arranges and participates in student program meetings on- and off-campus; Schedules and manages travel reservations and expense reimbursements; Processes supply orders; Processes disbursement vouchers; Prepares and maintains databases, spreadsheets, documents and other materials as necessary; Performs other duties normally associated with Office Assistant I and II to ensure completion of work and other duties as assigned.
Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in maintaining accounting ledgers and/or experience in word processing, spreadsheet, database, and/or desktop publishing software. The job may require knowledge of presentation and web page software and technical or medical terminology and/or technical training related to the field of employment; or an equivalent combination of education and experience.
The ideal candidate will be a self-starter with excellent verbal and written communication and customer service skills to join dynamic, fast growing unit on campus. Extensive knowledge of Microsoft Office products including Word, Excel, PowerPoint and Outlook; Enterprise Business Systems (EBS), Kuali. Experience with MSU’s back office systems is highly desired. The candidate will be expected to learn and then use new back office and decision support systems, such as Tableau, once they are made available. The ideal candidate will be able to work with a minimum amount of direction and will contribute new ideas toward the improvement of the operations of the unit.
