This position is 50% working in the Curriculum Office and 50% working at front desk/reception area.
In the Curriculum Office: Work in a high energy environment in the role of office support in the Department of Epidemiology and Biostatistics; will effectively interact with faculty, staff, students, university personnel, and the public; work independently and complete work with deadlines and frequent interruptions; compile and process student applications for Masters and PhD programs, and undergrad minor; update and manage student database and file reports; interprets information to students and or faculty; front desk duties working with students, answering phone, ordering supplies, and scheduling rooms.
At the Front Desk/Reception area: Work with students, answer and monitor telephone and voicemail, monitor quantity and purchase office supplies, reconcile purchasing card, process payments via MSU electronic financial software (EBS), schedule rooms, complete work with deadlines and frequent interruptions. Process financial transactions in EBS, including reimbursements, requisitions, conference registrations, travel arrangements and reconciliation, vendor payments and ledger corrections; arrange for facility repairs; contribute to compliance with university business policies, procedures, and regulations. Other support duties as assigned.
Standard office environment. The job requires moderate physical effort and involves sitting in one position and viewing a computer screen 50-75% of the time.
Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database and/or desktop publishing software; presentation and webpage software; typing and filing; maintain accounting ledgers; may require knowledge of technical or medical terminology and/or technical knowledge or training related to the field of employment; or an equivalent combination of education and experience.
One to three years of work experience in an academic unit; strong organizational and customer service skills; ability to multitask and work with frequent interruptions; a demonstrated work orientation that includes problem solving, teamwork, adaptability to change and a focus on continuous learning for self-improvement; proficient with Microsoft Office, Adobe Acrobat (Work, Excel, Access, Outlook), SIS, EBS, GAMS, CLIFMS, EBS (Kuali Financial System, Business Intelligence and SAP). Experience, strong understanding and ability to interpret university policies and procedures related to undergraduate and graduate programs, payroll, travel and financial transactions.; detail-oriented with a high degree of accuracy, resourcefulness and efficiency; demonstrates excellent communication and interpersonal skills through both verbal and written communications; may require knowledge of technical or medical terminology.
