Position Summary

The Eli Broad College of Business Dean’s office is seeking an energetic and self-motivated individual who is detail-oriented and dependable to support the Associate Dean for Undergraduate Programs; Associate Dean for Outreach and Engagement; and the Associate Dean for MBA and Professional Master’s programs. This position provides senior level administrative support for the operational needs of the Deans unit including but not limited to overseeing and maintaining records; developing and overseeing the administrative functions for three Associate Deans.  A partial list of tasks include creating and maintaining data bases; and data entry/analysis. Collecting, compiling and interpreting information in order to produce detailed reports; disseminating and implementing University and Broad College policies; procedures and information as requested by the leadership team.  Represents the Dean’s Office in a professional manner while interacting with administrators, faculty, staff, students and the public; serves as back-up support to the Deans’ leadership team.

Coordinating the college curriculum process at the Dean’s level. Using knowledge of the six academic units and the curriculum process to review various courses and programs for accuracy. Responsible for administration of the college level Registrar’s Office and Student Information System security. Assurance of Learning data and summer research grants including Research Committee. Uses University EBS systems to initiate personnel and standard forms for the Dean’s Office. Working with the directors to manage the requirements of the Master’s Program and Undergraduate Program committees including the D2L site. Supervising student employees which includes: hiring, evaluating, scheduling, training and entry of payroll.  Coordinates temp/on-call hiring for the Dean’s office. Collaborates with office supervisor, Deans, departments and University resources to implement unit efficiencies, practices, and procedures. Supports Dean’s office facilities projects. Establishes and maintains departmental files and records. Other duties as assigned.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired in the first two or three years of college, such as an Associate’s degree in business administration, human resources, communications or a business-related field; six months to one year of related and progressively more responsible or expansive work experience in word processing, database, spreadsheet, presentation software and/or desktop publishing, web page software; office procedures, or in performing responsibilities related to the operational activities of the unit; or an equivalent combination of education and experience.  Requires a valid operator’s license to perform the duties of this position.

 

Desired Qualifications

Bachelor’s degree or higher. Two years of related and progressively more responsible or expansive work in providing administrative support, financial accounting and human resources. Ability to interpret University policies and procedures. Familiarity with University systems including KFS, D2L and EBS. Detail-oriented with a high degree of accuracy, resourcefulness and efficiency. Demonstrated excellent communication and interpersonal skills through both verbal and written communications. Experience in using proper grammar, spelling, punctuation, content delivery and sentence structure. Experience establishing and maintaining effective working relationships with faculty, staff, student, community partners and other stakeholders.
