The College of Social Science Dean's Office is searching for an Administrative Associate to manage the fiscal and administrative activities of the College, including participating in the development of administrative goals, objectives, policies and procedures; directs all budget, financial analysis and professional and support staff personnel operations. Supervises support staff. Supports academic HR, administrative goals and objectives. Instrumental in developing and implementing policies and procedures for the College.
Duties and Responsibilities:
Directs and manages budget planning and development, budget processes, and revenue and expenditure controls for all funds in CSS; exercises responsibility of management authorization of expenditures. Directs the preparation of University and Governmental budget and fiscal reports. Analyzes and makes recommendations on the financial aspects of College initiatives and agreements, including annual planning and implementation of five-year strategic plan. Plans, projects and directs the personnel operations and transactions of CSS, including administering labor relations and performance appraisal activities. Oversees all hiring, discipline, and termination actions/recommendations for professional and support staff, with direct responsibility for hiring,evaluating and directing Dean’s Office administrative support staff. Supports Dean and Associate Deans in planning and implementing academic HR decisions.Makes recommendations to the Dean regarding College and unit management,structure and staffing. Serves as liaison to University central administrative offices; departmental administrators; other university college administrators and external agencies on financial and personnel matters. Supports Dean and Associate Deans on identifying and implementing solutions, and ensures resolution is completed. Drafts and reviews MOUs to ensure compliance with University policy and procedures. Coordinates activities of unit supervisors and budget officers, including managing regular meetings and ensuring implementation of College and University policies at the unit level. Resolves fiscal, management and accountability problems with faculty, chairpersons, directors and Deans.
Serves as member of Dean’s Senior Staff; provides input and insight on the strategic direction, goals, objectives, policies and procedures of the CSS. Identifies potential implementation challenges and possible solutions. Manages space and IT needs of the College. Maintains currency in the field through continuous learning.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business Administration, Accounting, Management or related field; five to eight years of related and progressively more responsible or expansive work experience in financial management and analysis and personnel management; or an equivalent combination of education and experience.
MBA; CPA; experience in computer systems design and use; advanced knowledge of MSU business and personnel policies and procedures; advanced knowledge and experience working with MSU's Enterprise Business Systems.
