Research Facilities Coordinator

Position Summary

The Research Facilities Coordinator has primary responsibility for the oversight, inspection/validation and coordination of shared and fixed research equipment, and associated resources and services located in the Michigan State University Grand Rapids Research Center (GRRC), a highly complex facility that performs cutting-edge research with regional, national and global partners. The position will be the point-person for building occupants / customer service for the research center and will assist the Building Services Engineer in helping to ensure continued day-to-day operations of the GRRC. This includes, but is not limited to: oversight of the fume hoods, glassware washers, autoclaves, cold rooms, high-pressure cylinders and liquid nitrogen, dry-ice, and flexible laboratory and common space; vendor and service contract management to ensure availability of resources needed to facilitate research; oversight and management of the electronic directory/kiosk and phone directories; and coordination of in-coming and out-going mail. Initial responsibilities will include development of facility use policies and procedures, along with a comprehensive, needs-based plan for ensuring the continuity of research operations. This includes working with faculty, researchers, Environmental Health and Safety, and Campus Animal Resources to develop operational policies and guidelines, while identifying and addressing research and compliance needs through resource and vendor/service contact management.

 

The position will help with new employee on-boarding and facility orientation and training, while providing continued support to current staff. The position will help oversee and coordinate facility events and assist in managing shared and common space, including maintaining the facility’s space inventory in the university’s space inventory system, as the position serves as a liaison between building occupants, faculty, university departments, and support units. This position also serves as a liaison between the building occupants and contractual services including custodial services, environment stewardship (waste and recycling), and food vendors. The position will be responsible for overseeing capital asset management and other annual administrative audits. Lastly, this position will help process invoices and help oversee the facility’s operational accounts and shared services reconciliation. 

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Facilities Management, Business Management or Science; three to five years of related and progressively more responsible or expansive work experience in facilities management and building operations; experience with building management systems; knowledge of research operations and support; experience with accounting and financial analysis; or an equivalent combination of education and experience.  The position also requires computer and software aptitude, with an emphasis on word processing, spreadsheets, and presentation software and solid understanding of budgeting and statistical data analysis.

Scientific and/or research background with strong management and leadership skills together with excellent communication, influencing, negotiating and engagement skills; sound judgment and decision making skills, with a ‘hands on’, problem solving approach with an emphasis on customer service; flexibility to deal with urgent or last-minute problems as they arise; enthusiastic and committed approach with a track record of building strong, trusted relationships with colleagues and stakeholders at all levels; ability to comprehend and use technology to aid in the management of duties including mobile smart phone, energy management systems, and diagnostic equipment.
